How MLX collects, uses and protects personal information.

At MLX, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you use our services.

1. Information We Collect

We collect information you provide directly to us, including:

  • Account information (name, email address, company details)

  • Usage data and analytics from this website

  • Communications with our team

  • Service and deployment records needed to operate and support a configured MLX target

Current MLX targets are managed deployments. A configured target may ingest organisation-scoped evidence from systems the customer approves and store the derived products, run records and review state needed to provide the service. Source systems remain authoritative. Where a configured workflow uses an external model provider, the context needed for that request may be sent through the approved provider path under that provider's own controls and retention terms. The connector, storage, provider and retention paths are confirmed for each deployment.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services

  • Process transactions and send related information

  • Send technical notices and support messages

  • Respond to your comments and questions

  • Develop new features and services

3. Information Sharing

We do not sell your personal information. We may share information with:

  • Infrastructure, connector and model providers used for the configured service

  • Other service providers who assist in our operations

  • Professional advisors (lawyers, accountants)

  • Authorities when required by law

4. Google Workspace Data

MLX offers separate, user-scoped connections for Gmail, Google Calendar, Google Drive, Google Docs and Google Sheets. You choose which Google account and which capability to connect. MLX requests each capability separately instead of combining them into one broad grant.

Depending on the capability you connect, MLX may access:

  • Gmail messages, threads, drafts and labels to search and read relevant mail and, only when you ask, draft, send, reply, forward, label or archive mail

  • Your subscribed Google calendars, Calendar settings such as time zone, and events to show agendas and, only when you ask, create, update or delete events

  • Google Drive files and metadata, including content in My Drive and Shared Drives, to find and read files and, only when you ask, create or update files

  • Google Docs and Sheets, plus the Drive metadata needed to find them, to read relevant content and, only when you ask, create or update documents and bounded spreadsheet ranges

MLX uses Google Workspace data only to provide and secure the user-facing task you request. Task-relevant content may be processed by the AI model provider configured for your MLX deployment, such as the OpenAI API or Anthropic API, solely to produce that requested result. MLX does not sell Google Workspace data, use it for advertising, determine creditworthiness, or use or transfer it to train general-purpose AI or machine-learning models.

MLX stores the OAuth credential securely until you disconnect or revoke access. Organisation-scoped task instructions, tool results, generated outputs and audit records may be retained under the customer's configured deployment retention so that the service can provide task history, review and provenance. Disconnecting stops new access and removes the saved MLX credential. You can also revoke MLX from your Google Account. To request deletion of retained MLX data, contact privacy@mlx.systems.

MLX's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction.

6. Data Retention

We retain information for as long as needed to provide the service, meet the applicable agreement, resolve disputes and satisfy legal obligations. You can ask us about access, correction or deletion using the contact details below.

You have the right to:

  • Access your personal information

  • Correct inaccurate data

  • Request deletion of your data

  • Object to processing of your data

  • Data portability
